What is X-Area?
X-Area is tutoring management software for South African tutors, tutoring companies and online schools. It runs scheduling, attendance, grades and assessments, invoicing and client portals in one web platform, replacing the spreadsheets, paper registers and WhatsApp threads most tutoring operations rely on.
How does attendance tracking work in X-Area?
Every session gets a unique, secure check-in link. The tutor shares that link, and the moment a student opens it, attendance is captured and the status — present, late or absent — is computed automatically. Nobody fills in a register afterwards, and nothing has to be chased.
Do students need to download an app or create an account?
No. Students check in through a secure session link from any device with a browser — no app to install, no account to create, no password to forget. Students who want their own attendance history and grades can use the optional student portal instead.
How much does X-Area cost?
X-Area costs R1,200 per month for Core, R2,500 per month for Standard and R3,900 per month for Pro, all excluding VAT. There are no hidden fees, you can cancel anytime, and every plan includes onboarding support. Custom plans are available for large organisations.
Is X-Area suitable for a single independent tutor?
Yes. The Core plan is built for a one-person practice — add your students, schedule a session, share the check-in link, and the attendance record writes itself. The same platform then scales to a multi-tutor company without moving to a different product.
What is the X-Area client portal?
The client portal is a branded, read-only dashboard for the schools, universities and companies paying for tutoring. They see their own students' attendance rates, trends and at-risk flags in real time, without being given admin access to your operation. It is included in the Pro plan.
How long does it take to set up X-Area?
Most operations go from sign-up to first session in an afternoon. You create the organisation, add tutors and students, and start scheduling. No technical knowledge is required, and onboarding support is included in every plan.
Does X-Area handle invoicing and VAT?
Yes. X-Area generates professional invoices for client schools and universities with line items, discounts and tax, and exports a print-ready PDF. Subscription prices are quoted in South African Rand and exclude VAT.
How is X-Area different from TutorCruncher, TutorBird or Teachworks?
Those platforms are international and priced in pounds or dollars. X-Area is built for South Africa with Rand pricing, VAT-aware invoicing, POPIA-aligned data handling and local support. It also combines attendance that records itself with a client-facing portal, which is rare in the category.
Is X-Area POPIA compliant?
X-Area handles personal information in line with the Protection of Personal Information Act, 2013 (POPIA). Full detail on what is collected, how it is stored and how long it is kept is set out in the X-Area privacy policy.
Does X-Area work for driving schools?
Yes. X-Area has a purpose-built driving school plan with self-service lesson booking against instructor availability, learner pickup locations and licence code tracking for Code 8, 10 and 14. It runs on a flat R1,900 per month plan rather than the tutoring ladder.
Is X-Area a learning management system (LMS)?
No. X-Area manages the operation of a tutoring business — sessions, attendance, grades, invoicing and reporting — rather than hosting or delivering course content. If you need curriculum hosting or e-learning modules, X-Area is not the right tool.
